This Privacy Policy describes how Les Applications B1 inc. (“BerlinOne”, “we”, “us”, or “our”) collects, uses, discloses, retains, and protects the personal information of users of the BerlinOne platform.

This policy applies to the BerlinOne.ca website, the BerlinOne.app application, and all related services.

We are committed to complying with applicable Canadian and Quebec laws regarding the protection of personal information, including Quebec's Act respecting the protection of personal information in the private sector, as modernized by Law 25.

The person in charge of the protection of personal information is the President of Les Applications B1 inc. You can reach the President at info@berlinone.ca.

2. Personal Information Collected

Depending on how you use BerlinOne, we may collect the following information.

a) Account information

email address;
pseudonym;
year of birth and a short introduction, if you choose to provide them;
name and profile photo, if you sign in with Google;
display language and preferred languages;
account creation date;
subscription type, its change history, and artificial intelligence credits.

Your pseudonym is visible to other users when it accompanies a public category or a category shared with them, and a public category can be found by searching for its author's pseudonym. Your year of birth and your introduction are not shown to other users.

b) User-created content

We retain the content you choose to create or publish, including:

categories and their descriptions;
events, with their dates, places, descriptions, images, and references;
event proposals and the comments that accompany them;
links between events;
sharing settings.

A private category is visible only to you and to the people you share it with. Our administrators may access it when necessary for the operation or security of the service.

c) Usage preferences

We retain certain preferences linked to your account:

categories you follow, hide, or dismiss, and their display order;
topics of interest;
display settings, such as the number of items shown;
anniversary notification settings: whether they are on, their frequency, and the natures selected for each followed category.

Other settings, such as your position on the timeline, filters, or zoom level, are stored in your browser (see section 10).

d) Use of artificial intelligence features

When you use the AI Lab, we retain:

your requests, the generated responses, and the conversation history;
the instructions sent to the AI model and the results it produces;
the technical logs of these exchanges, such as duration, errors, and the number of tokens used.

For each call to a paid AI service made for your account, such as a generation, an automatic translation, or a read-aloud, we record the service used, the quantity consumed, its cost, and the credits deducted.

e) Signing in to your account

You can access BerlinOne with your Google or Microsoft account, or with a sign-in link sent to your email address. Authentication is handled by Supabase.

If you choose Google or Microsoft, that provider sends Supabase the information needed to identify you and to create or manage your BerlinOne account: your email address, an indication that it has been verified, and an account identifier specific to the provider. Google also sends your name and the address of your profile photo; Microsoft does not. This information is retained with your account. BerlinOne displays your Google profile photo as your account image, visible only to you. Your name is not displayed: your pseudonym takes its place. Your use of your Google or Microsoft account remains subject to that provider's privacy policy.

If you choose the email sign-in link, we use your email address to send you that link and to verify your access to the account.

While a sign-in session is active, Supabase retains the IP address and browser associated with it.

f) Payments

Payments are made on pages hosted by Stripe: we never receive or retain your card number. When you first subscribe, we send Stripe your email address, your pseudonym, and your BerlinOne account identifier. We retain the identifiers Stripe assigns to your customer record and your subscription.

g) Invitations

When you share a private category with someone using their email address, we use that address to send them the invitation and retain it with the invitation. When you recommend a public category, we use the address only to send the recommendation and do not retain it.

If BerlinOne invites you to join the platform, we retain your email address and the status of that invitation.

h) Technical logs and consent

When an error or a security event occurs, we record, among other things, the page address, the request, the browser used, your IP address, and, where applicable, your account identifier.

When you confirm that you have read the privacy notice banner, we record your response, its date, the version of the banner, the language, your IP address, and your browser.

i) Notification emails

If you turn on anniversary notifications, we use your email address to send you the anniversaries of events in the categories you follow, at the frequency you choose and up to a set number of emails per month. They are off by default. For each email, we retain its date, the period covered, the number of anniversaries, and the featured event. You can unsubscribe at any time using the link in each email, without signing in, or in your Preferences.

If you have a yearly subscription, we send you a notice about 30 days, then 3 days, before it renews automatically, with the expected amount. This notice comes with your subscription: it has no unsubscribe option and stops if you cancel the renewal. We retain the date of each notice, the subscription and renewal date it concerns, and the amount stated.

j) Text messages

If you take the SMS reminders option and enter your mobile number in your Preferences, we use it to send you a verification code, then your anniversary notifications by text message, in addition to email, at most one text message per day. We send text messages only after your express consent, given by checking a box that is unchecked by default. We retain your number, the date of your consent, the date of each text message sent and, where applicable, its rejection by the phone carrier. You can stop text messages at any time by replying STOP, or in your Preferences; we then retain the date of your request, and you can resume them by replying START.

Your mobile number and your consent to receive text messages are never sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. They are transmitted only to Telnyx, which delivers the text messages.

3. Purposes of Processing

We use your personal information to:

create and manage your account;
allow you to create, edit, and share categories and events;
provide collaborative features, such as proposals and invitations;
generate content using artificial intelligence;
automatically translate content and read it aloud;
manage your subscription and your credits;
process payments;
ensure the operation and security of the platform;
prevent abuse and fraud;
diagnose and fix errors;
communicate with you about your account, for example to send you a sign-in link or a notice before your subscription renews;
send you the anniversary notifications you have turned on, by email and, if you have taken the SMS reminders option, by text message.

We never use your personal information for targeted advertising, and we do not analyze your use of BerlinOne for audience measurement.

We collect, use, and disclose your personal information for the purposes described in this policy, with your consent when consent is required.

We may also use or disclose certain information without your consent, but only where the law permits or requires it.

You can withdraw your consent by writing to us at info@berlinone.ca. Depending on the information concerned, withdrawing consent may limit certain features or prevent us from continuing to provide certain services. We will explain the consequences of your request.

5. Data Retention

We retain your personal information only for as long as necessary for the purposes described in this policy or to meet a legal obligation.

Active account

As long as your account remains active, we retain the information needed to manage it and to provide the services you use, subject to the following periods:

AI Lab conversations that did not lead to the creation of a category: 30 days;
AI Lab conversations linked to a category: as long as that category exists;
mobile number: until you remove it from your Preferences;
history of notification emails, text messages, and renewal notices: as long as your account exists;
IP addresses in technical logs, and the IP address and browser recorded with your response to the privacy notice banner: 30 days;
error and security logs: 12 months;
database backup copies: 30 days.

Deleting your account

You can delete your account yourself from the Preferences page, which also lets you download a copy of your data beforehand.

When you delete your account:

your account, your profile, your preferences, your category subscriptions, your credits, your AI Lab conversations, your mobile number, the history of notification emails, text messages, and renewal notices, and the invitation that allowed you to join BerlinOne are deleted immediately;
private categories you own, including those you share with other people, are deleted along with their content;
categories you made public and their content are retained to ensure the continuity and collective value of BerlinOne's knowledge base; they no longer accept proposals;
events you added to other users' categories are retained;
backup copies containing your information are erased no later than 30 days after the deletion.

Retained content is de-identified: the link to your account is removed and the author is replaced with “Inconnu” (“Unknown”). We reserve the right to assign a new owner to such de-identified categories at any time.

This removal does not automatically delete personal information you may have entered in titles, descriptions, or other text. If retained content contains personal information about you, you can write to us at info@berlinone.ca to request its removal. We will handle your request in accordance with applicable laws.

Error and security logs are retained for up to 12 months without any link to your account, and the IP addresses they contain are erased no later than 30 days after they are recorded. The cost record of AI services is retained without any link to your account.

Stripe retains your billing information, such as your email address, your pseudonym, and your payment history, in accordance with its own legal and accounting obligations.

Telnyx keeps a record of the text messages it delivers, in accordance with its own obligations.

Certain information may be retained after your account is deleted where the law requires it, for the period set by law.

6. Your Rights

In accordance with applicable laws, you may:

access the personal information we hold about you;
obtain a copy of your information in a structured, commonly used technological format; the Preferences page lets you download it yourself;
have inaccurate, incomplete, or equivocal information corrected; you can edit your pseudonym, year of birth, introduction, and languages yourself;
withdraw your consent, under the conditions described in section 4;
request that the dissemination of information about you cease, or that a hyperlink giving access to it be de-indexed, where the law allows;
delete your account, under the conditions described in section 5.

7. Service Providers

To operate BerlinOne, we rely on certain specialized providers.

Depending on the features you use, your information may be processed by:

Supabase: authentication, database, and storage of read-aloud audio;
Vercel: hosting of the application;
Stripe: payments and subscriptions;
Resend: sending emails: sign-in links, invitations, recommendations, anniversary notifications, and renewal notices;
Telnyx: sending text messages: verification codes and anniversary notifications;
Google (Gemini): AI Lab, automatic translations, and image and reference suggestions for events;
Soniox: reading events aloud;
Google (Maps): displaying the map of a place, loaded directly by your browser (see section 10);
cron-job.org: triggering automated tasks, without access to your personal information.

Each provider processes the information sent to it according to its own terms of service and privacy policy.

8. International Transfers

Our database is hosted in Canada. Some of our providers, including Vercel, Stripe, Resend, Telnyx, Google, and Soniox, may process personal information outside Quebec or Canada, particularly in the United States. That information is then subject to the laws of the country where it is processed.

9. Security

We implement appropriate security measures to protect your personal information, including:

encryption of communications;
password-free sign-in, with Google, Microsoft, or a link sent by email;
two-factor authentication for administrator accounts;
access controls;
logging;
encrypted backups;
monitoring of our systems.

Because no computer system is entirely free of risk, we cannot guarantee absolute security.

10. Cookies and Browser Storage

BerlinOne uses only the cookies and browser storage necessary for it to work:

session cookies, which keep you signed in;
a language cookie;
a temporary ten-minute cookie that returns you to the right page after signing in;
local storage of your display settings and of your response to the privacy notice banner.

We use no advertising cookies, no audience measurement tools, and no advertising profiling technologies.

When you open the map of a place, it is provided by Google Maps. Your browser then communicates directly with Google, which receives, among other things, your IP address and the place displayed, and may use its own cookies in accordance with its privacy policy.

11. Changes

We may amend this Privacy Policy to reflect changes in our services or in the law.

Any significant change will be announced on BerlinOne or communicated by email when appropriate.

The date of the last update appears at the top of this document.

12. Complaints

If you believe your personal information has not been handled in accordance with applicable laws, you may contact us.

You may also file a complaint with the Commission d'accès à l'information du Québec or with any other competent Canadian authority, where applicable.
